EcoVadis document review and supplementary evidence: PAR, common gaps and corrective-action explanations

EcoVadis checks whether supporting documents substantiate questionnaire answers, match the assessment scope and reflect an operating sustainability management system. When evidence is insufficient, identify the gap before gathering existing policies, implementation records and performance evidence.

Information checked: October 28, 2026. This guide concerns EcoVadis Sustainability Ratings. Submission channels and opportunities to supplement evidence depend on the current questionnaire, platform and analyst instructions.

1. Document review through PAR

EcoVadis evaluates three management pillars: Policies, Actions and Results, abbreviated here as PAR. Official methodology

  1. P — Policy: Formal written commitments, scope, ownership and objectives.
  2. A — Action: Measures, procedures, training, certification and deployment evidence.
  3. R — Result: Traceable data, KPIs, reporting periods and performance monitoring.

A policy alone does not prove implementation; a presentation or certificate cannot replace every performance metric. Connect commitments, implementation and outcomes into an evidence chain.

2. Common reasons for insufficient evidence

Eligibility, dates and formal approval

  • Outside validity: General periods are eight years for policy/action documents and two years for KPI reporting; check certificates' stated expiry separately. Results do not share an eight-year window, and three-year-old KPIs are not generally acceptable by default.
  • Missing identity or dates: Without company name/logo and issue/review date, provenance and version may be unclear. Retain policy approver, signature or electronic approval records; a CEO's handwritten signature is not a universal requirement for every document.
  • Draft status: Unapproved or unimplemented drafts cannot demonstrate an operating system. Do not assemble documents solely for the questionnaire or backdate them.
  • Unreadable text: For languages other than English, French, Spanish, German, Chinese or Japanese, official guidance calls for text-encoded documents rather than images. Other languages are not universally excluded. Check scanning quality, searchable text and translation completeness.

See EcoVadis supporting-document requirements and check document status on the platform before submission.

Content lacks detail, scope or objectives

  • Slogans only: A commitment to energy/carbon reduction without SOPs, accountable departments, frequency or records.
  • Scope mismatch: Evidence from one site does not automatically cover the entire assessed scope. Conversely, if only that site is assessed, global parent-company coverage is not automatically required. Match the actual assessed entity and sites.
  • Unclear objectives: Missing deadline, baseline year, calculation boundary or owner. State the reference year and operating activities behind each energy or emissions reduction percentage.

Implementation and results are not traceable

  • No training records: Materials exist, but dates, attendance, participation rates or completion records cannot be checked.
  • Untraceable KPIs: Missing period, unit, denominator, source or coverage prevents comparison over time.
  • Incomplete third-party evidence: ISO 14001/45001 certificates are incomplete, expired or outside scope. Certificates support certification questions; not every result requires third-party assurance.

Link third-party material to the assessed company, for example equipment brochures with purchase invoices or external training certificates with an internal training plan. Third-party document guidance

3. Information to collect and explain

Policy: commitments and authorization

Identify the company, sites, employees or suppliers covered. Specify ownership, review arrangements, deadlines and appropriate quantitative targets. Retain genuine publication dates and senior authorization; signatures or electronic approvals should follow the company's actual document-control system.

Action: measures and implementation details

Provide procedures, flowcharts, SOPs, internal audits and improvement follow-up. Explain responsible roles/committees, resources and execution frequency. Training evidence can include plans, materials, attendance and completion records. Demonstrating implementation matters; presentations are not categorically excluded.

Result: performance and underlying data

Prioritize the latest one to two years of environmental/social performance: electricity consumption, recycling rates, injury rates and training coverage. Include periods, units, methods, scope and sources. Supply utility-bill samples, external audits or valid certificates when relevant to the question.

Build a cross-reference: question/gap → document and version → page → scope → owner → improvement status so reviewers can locate evidence quickly.

4. Example supplementary-evidence explanation

This is an illustrative structure. Replace all targets and years with genuine company information. It is not a claim of actual performance or a guarantee of acceptance. Dates must reflect actual review/publication, not merely a changed year.

Document: Company Environmental Policy and Operational Energy-Saving Procedure
Question/gap: Actual question number and analyst comment
Assessed scope: Entities, sites and people covered
Corrective-action explanation:
1. Authorization: Actual approver and issue/review record for the 2026 version.
2. Target: Example — reduce electricity use across all sites by 15% by 2030;
identify baseline year, boundary, method and responsible department.
3. Action: Attach 2025 equipment-inspection and LED-replacement SOPs,
plus completed work orders, purchasing or acceptance records.
4. Results: Attach 2024–2025 environmental performance statistics and
underlying-data index; include valid ISO 14001 certificate/scope if relevant.
Version/pages: Version, date and precise evidence page numbers
Owner/status: Name, responsibility, completion date or outstanding tasks

The objective is verifiable management evidence, not more documents. Confirm eligibility, scope and dates, then connect PAR to explain the company's actual system, implementation and improvement results.
