A first-screening checklist for query scope, species records, conservation status and blank fields in a BIA result, with questions to pass to field specialists.
Scope and key points
Save the search settings with the report: locations, buffers, dates, datasets, taxonomic groups and filters. A result describes what the selected data and query returned; it is not by itself proof of presence or absence at a site.
Practical checks
For each listed species, check the source, observation date, geographic resolution, conservation category and assessment scope. Preserve the authority and version of the status source.
Suggested workflow
- Treat blank or missing records as data gaps, not evidence that biodiversity is absent. Convert findings into questions for follow-up surveys, local expert review and site-level assessment.
- Record the query and limitations; validate species entries; map gaps; prioritize field verification; retain a traceable decision log for subsequent assessment.
Turn screening results into a useful handover
For a threatened-species record, verify the original distribution or observation data before choosing a survey method. For a protected area shown nearby, compare the responsible authority's boundary with the location of the organization's activities. If the report omits the date or version of its data, ask the provider about the applicable period; if a query returns no records, recheck the search area, layers and data coverage before deciding whether further work is needed. Suitable interim wording might say “listed for further verification,” “proximity pending map confirmation,” or “no record returned in this query.”
A distance figure alone does not show how a project could affect a receptor. For decisions on site selection, construction or emissions, connect the organization's activity to the potentially affected feature and explain the possible pathway. Keep the original output, cited sources, open questions, assigned owner and target completion date together. A colleague should be able to repeat the query from the saved settings and understand how the conclusion was reached.
