EcoVadis Assessment and Management Evidence Preparation

Assessment materials should show what policies the assessed company has adopted, how they are implemented, and what traceable results they produce. Confirm the assessed entity first, then map each questionnaire item to existing records so that group documents do not become disconnected from local implementation.

Confirm the assessed entity first, then map each questionnaire item to existing records so that group documents do not become disconnected from local implementation.

Who may need this and when

Companies receiving an invitation for the first time, preparing for reassessment, or planning improvements based on a scorecard can begin by providing the questionnaire and previous results. Items with insufficient information should be separated into documents that need updating and measures that still need to be implemented; they require different lead times.

Trace policies through actions to results

Environmental objectives should connect to measures and progress; training records should identify participants and content; supplier commitments should be checked against applicable assessment and follow-up requirements. New documents must show their real approval and effective dates and must not be backdated as if a system had existed earlier.

Method and document conditions

EcoVadis covers Environment, Labour and Human Rights, Ethics, and Sustainable Procurement. Its 21 criteria are selected according to factors such as business activities, size, and location. Prepare information against the questions activated for the current assessment rather than treating every criterion as a fixed checklist.

Each assessment allows up to 55 newly uploaded documents; documents from a previous assessment do not count toward the current limit. Policies and action documents generally have an eight-year validity period, while KPI reports generally have a two-year period; check the requirement for each item. Do not combine unrelated documents merely to work around the limit.

Medals are based on relative performance and eligibility conditions. Platinum, Gold, Silver, and Bronze currently correspond to the 99th, 95th, 85th, and 65th percentiles, subject to additional minimum theme scores, sector, and 360° Watch conditions. Results apply to the assessed entity and are not a sustainability certification for all products.

A project workflow to discuss

  1. Confirm the company, sites, questionnaire, and deadline; review improvement areas in the previous scorecard.
  2. Map questions to policies, implementation, and performance, recording scope and document dates.
  3. Separate usable, update-needed, and not-yet-implemented items; have the responsible departments confirm actions and evidence.
  4. Check consistency between answers and attachments, obtain company approval before submission, and plan data maintenance for the next cycle.

Initial information and possible outputs

Prepare assessed-entity information, the questionnaire, policies, training and risk records, performance information, and certificates. Possible outputs include an evidence list, gap and improvement tracker, answer review, and version index. Handle sensitive information only to the extent necessary while retaining enough context to assess whether documents apply.

Assessing schedule and fees

The effort to organize existing evidence differs from the time needed to establish a system and build records. Schedule coordination across sites, supplier improvements, and assessment-provider processing separately. Confirm advisory work and platform arrangements as separate items.

Frequently asked questions

Can we use a group policy as is?

Confirm that it covers the assessed entity and that local implementation can be evidenced. Being part of the same group does not make every document automatically applicable.

Are more attachments always better?

Relevance, authenticity, and support for the answers matter. The document limit is not a score target.

Does issuing a new policy complete an improvement?

The questionnaire may also require evidence of implementation and results. Policy approval, start of implementation, and performance follow-up should be presented separately.

Can a scorecard be used indefinitely?

Scorecards and related medals or badges are valid for 12 months, according to the platform date. Reassessment follows current rules, and an award is not guaranteed to continue.
