Policy template

Integrated Environment, Occupational Health and Safety, and Sustainability Policy Template

A customizable policy framework for organizations that want to state commitments, responsibilities and continual-improvement principles across environment, OH&S and sustainability.

A customizable policy framework for organizations that want to state commitments, responsibilities and continual-improvement principles across environment, OH&S and sustainability.

Overview

Adapt the policy to the organization’s context, activities, risks, legal obligations and interested-party requirements. A template is a starting point; it does not itself demonstrate system implementation or compliance.

Assessment and use

The policy can address pollution prevention, resource efficiency, safe and healthy work, worker participation, legal compliance, responsible procurement, climate considerations and continual improvement where relevant.

Practical application

  • Obtain top-management approval, communicate the policy to workers and relevant partners, make it available as appropriate, and review it when context or obligations change. Avoid commitments that cannot be supported by resources or evidence.
  • Customize scope and commitments; verify applicable requirements; assign owners; approve and communicate; link commitments to objectives and controls; review performance and update when needed.

Sample policy tex

This document is a drafting example. “ABC Co., Ltd.” is a placeholder for the organization’s name. Commitments, management arrangements and approval details must be adjusted to the organization’s actual circumstances. This is not a statement of Captain International’s own policy or implementation.

This example may be adapted for an organization’s sustainability or ESG webpage. It can inform the policy and commitments portion of GRI 3-3 material-topic management disclosures and connect with ISO 45001 and ISO 14001. A policy statement alone does not complete a material-topic disclosure; organizations should also report actual impacts, actions, performance monitoring and stakeholder engagement.

ABC Co., Ltd. Environment, Occupational Health and Safety, and Sustainability Policy

Using the GRI Standards (GRI 1, GRI 2 and GRI 3), ABC Co., Ltd. consults interested parties and identifies occupational safety and health, environmental-impact management, and supply-chain sustainability as material topics. The organization applies ISO 45001 and ISO 14001 management systems and conducts risk-based due diligence to manage actual and potential impacts of its operations on people, the environment and its supply chain. It seeks to balance business development, environmental protection and social inclusion and to meet its responsibilities to workers, customers, suppliers, communities and other interested parties. The organization commits to the following:

  1. Comply with laws and international norms. Follow applicable environmental and occupational health and safety laws and regulator requirements, consider relevant international human-rights and sustainability norms, track legal updates and periodically review compliance. Assess adverse operational impacts and establish preventive and corrective mechanisms in line with GRI disclosure principles.
  2. Prevent hazards and manage risks diligently. Identify hazards, assess risks and opportunities, and proactively consider potential impacts on worker safety and health and the environment. Eliminate hazards where possible, reduce risk, conduct workplace inspections and prevent occupational incidents and environmental emergencies. Set controls for identified material impacts and include risk considerations in operational decisions.
  3. Protect worker health and well-being. Consider the physical and mental health of all workers, including contractor workers under the organization’s control. Prevent occupational illness, provide health checks and health-promotion programs, and maintain a safe workplace. Protect labor rights and prevent occupational injuries. Disclose applicable performance information, such as injuries and occupational diseases, in accordance with GRI 403.
  4. Manage a responsible supply chain. Include environmental, OH&S and human-rights requirements in supplier and contractor selection, contracts and subsequent evaluations. Assess supplier impacts, identify actual and potential adverse social and environmental impacts in the supply chain, and work with partners to address findings. Use GRI 414 and GRI 308 as relevant references for supplier social and environmental assessment.
  5. Provide training and raise awareness. Provide training and communications on environmental protection, OH&S, human rights and sustainability for workers, contractors and partners. Strengthen risk identification and response capabilities and build a culture in which workers understand their responsibilities for impacts on people and the environment.
  6. Engage interested parties and workers. Maintain two-way consultation and encourage worker participation in OH&S, environmental and sustainability matters. Protect workers who report incidents, hazards or risks in good faith and prohibit retaliation. Provide channels to respond to workers, customers, suppliers and neighboring communities; use their views when reviewing material topics and updating the policy.
  7. Continually improve systems and performance. Review the policy and management systems through internal audits, management review and performance monitoring. Set measurable OH&S and environmental objectives, track results and take corrective and preventive action. Publish the management approach, objectives and results as appropriate in sustainability reports or on the organization’s website for interested parties to review.
  8. Advance environmental sustainability and climate action. Promote green procurement, energy efficiency, emissions reduction, circular resource use and waste prevention. Assess climate-related risks and opportunities and pursue a low-carbon transition where operationally feasible. Monitor and disclose environmental performance against applicable GRI topic standards.

Top management approves and issues the policy. The organization communicates it to workers and makes it publicly available as appropriate. It reviews the policy alongside its annual material-topic review and updates it when laws, business models or stakeholder expectations change. The policy supports, but does not replace, the organization’s broader sustainability reporting.
